Holding a Sale and Deposit on a
Sale
Sales can be held for the following reasons;
- A Deposit payment only has
been
put on a sale that will
later be completed.
- Sometimes customers forget their wallet or need to go back
to the store to grab a forgotten item.
- Orders for later pickup/delivery are phoned or emailed
in.
- A quote is made and saved for a later sale.
Putting a Deposit on a
Sale.
This operation combines a customer entry with the 'Hold
Sale' process, the Hold is automatic when a Deposit is placed
on a Sale. The Steps involved are:
- Add a Customer into the sale at
any point in the sale.
- Touch the 'Options - Sale Deposit' Button
- Using the Touch Key pad, enter the Deposit amount that the customer is leaving with
you to hold the sale.
- Press Enter to complete the payment and see the Payment screens.
- Make a payment for the Deposit to Cash, Debit
Charge etc..
- The Sale is then held automatically in that customer's name
and receipts are issued for the Held Sale and Deposit
information.
- If an Inquiry is made on any PLU while it is on a sale held
under a Deposit, then the Inquiry will show the physical quantity On
Hand of the item and the quantity commited to sell (Held) on Deposit
Sales.
- Subtracting the two figures will give the stock available
for sale.
- A held sale with a deposit is Held in the System indefinitely or until recalled
then Sold or Voided.

The Back Office server must be
running at intervals for these figures to be kept updated on each
lane in the system and in the Back Office.
- In the Back Office, a report is available showing all sales
held on a Deposit up to the time of the last update. (Store -
Sales Journal - Sales Reports - 'Items Held By
Deposit')
When the Customer returns to pick up the merchandise and pay in
full:
- Enter the Customer in the Sale FIRST.
- Touch 'Recall Sale' and the sale(s) held for that customer
ONLY on a deposit will be listed.
- Touch the correct Sale Record to retrieve the sale. (The
customer should produce their original receipt as a
security check.)
- The Sale will show the original sale with the Deposit amount
deducted.
- Further items may be added to the sale at this point in
time.
- Pay the balance of the sale on Cash, Debit etc and close the
sale as normal.
Holding a Sale for any other
reason
Any sale
regardless of status, can be held for any other reason for later
retrieval unless the payment is completed fully.
- A held sale should be retrieved and voided if not
completed.
- If automatic receipts are turned ON (in the Receipts section) then a slip detailing
the held items will printed when the sale holds.
- Held Sales remain available for two business days, then the
system automatically voids them.
- Sales printed as a quote remain on the system for a month.
- Sales with a Voice
Authorized credit card payment can only be Authorized OR Sale
Voided when retrieved.
- Held sales do
not form part of a Cash Out financial report on the lane, or appear in
the Back Office Electronic Journal until they are sold or
voided.
- If a Sale is held on a Lane, in a multiple
lane store, when the Back Office polls, the sale is distributed as
available on all the other lanes.
- When a Sale is sold on another Lane it’s
incidence on the original lane is removed.
That feature relies on the Autopoll program
running on the Back Office computer.
- A 'Held' Sale, when retrieved, takes on the Lane Receipt coding and
Sales Person ID of the lane/Salesperson that completed the
sale.
Anytime during the Sale, touch the ‘Hold Sale’
button.
- This then saves the current sale and opens
a
new one so
that you can start with the next customer in line.
- When the original customer comes back to you, touch the ‘Recall
Sale’ button to see the list of saved sales.
- The most recent is at
the top of the list.
A list of saved
sales will then be available to you.
- To issue a packing slip from any sale, first touching
the 'Print Held Sale' button
after touching one of the saved sale
lines.
This is
useful to help find the record of the sale later.
- To retrieve a sale, touch the appropriate line on the
list only and the sale will resume where it left
off.
- If the Print Quote function used, a
quote for the sale is printed and the sale will be held in the POS
system for one month.
- If the Cashier attempts to Cash Out while held sales
are active, a warning will show on the Cashier screen.
- This does not interfere in any other way with the Cash Out
operation.
- Inventory in saved sales is NOT deducted from
the stock on hand value until the sale is retrieved and closed.
- Inventory Sold figures are NOT incremented until the Sale is
retrievd and closed.
