Sales Function Button Setup

The POS Lane allows sales by Scanning, Keyed Entry, Inquiry or by pressing Buttons on the screen that are linked to sales items.

Any item in the Back Office that is required to translate to a button on the POS Lane MUST have 4 digits or less as a Barcode/PLU entry in the Back Office Inventory - Item Maintenance setup.

Any PLU number between 2 and 9999 can be used as a PLU button on the system (PLU 1 is reserved for system use).

When you touch a PLU button it will sell the item with the Retail Price or function specified in the Back Office.

The buttons have 10 Types of Sales functions available to buttons.

  • Normal Retail (Preset Price)
  • Open Retail
  • Modify Retail
  • Scale Retail
  • Gas (Fuel) Item
  • Special Function (Ticket, Golf Ball Machine Interface)
  • Negative Retail (Preset Price)
  • Open Pay Out (Negative Retail)
  • Sell a Package of other Items.
  • PLU (Drill Down) Page

Additionally, any PLU (Price Look Up) button can

  • appear when its corresponding Department Button is pressed.
  • be placed on the Quick (Fast Access) Bar on the POS screen.
  • have a sort order specified outside of the default Alphabetical order.
  • be assigned a specific colour.
  • be assigned a specific (Drill Down) PLU Page

To show on the POS, all buttons have to be either

  • placed in a Category belonging to a Visible Department or
  • set to show on the Quick Bar or
  • linked to a PLU Page that is itself,setup in a Visible Department, or on the Quick Bar.

This page explains how to setup each type of button.

At the POS when the PLU button is pressed it displays a set of Department buttons at the Top Right of the screen.

Also the set of PLU buttons (all PLUs with 4 digits or less) in the first department displayed is shown in a bigger list on the right hand side of the page.

Pressing successive Department buttons shows the PLU selection available from each Department.

The QuickBar section always displays and is used for frequently accessed items.

Any PLU with 4 digits or less can be programmed to appear on the Quick Bar, it will still also appear in its parent department selection if it shows on the Quick Bar.

The Quick Bar has no relation to any Department.

  • To make a Department Button visible on the system, select the Department entry from the Setup - Store - Department form.
  • Click on the 'Show Button On POS' checkbox so that it is checked (ON).
  • Send Changes to the POS (This will be done automatically on closing the form if the Scheduler is running on the Back Office OR Choose POS Lanes - Send Changes - Lane Grouping Data - Click Send Changes).

Once changes are sent to the Lane you will have to activate the Department to get it to show up.

  • To do this, on the lane, choose Cashout - Configure Lane - Active Buttons

This displays the Active Buttons setup.

  • Touch any button to enable it (Yellow) or disable it (Grey).
  • Disabled Departments will not be visible ot any cashier on the lane.
  • This feature is designed so that a Lane can show or hide Departments, enabling different types of Lane within the same Back Office data.
  • PLU Items setup as PLU Pages can also be hidden or activated in the same way.

The 'Save Map' and 'Get Map' functions allow one Lane to be a model and the map saved.

  • The map can be transfered to other lanes and the Get Map function is invoked, giving an identical layout.
  • The Maps are contained in the files;
    C:\Program Files\ICRSoftPOS\NewDeptMap.XML
    C:\Program Files\ICRSoftPOS\NewPLUMap.XML

Once the Department is visible on the POS screen,any item in a Category linked to that Department will show up in it, so long as it is Active, and its PLU Code is 4 Digits or less (2 to 9999).

Normal Retail Button Item Setup: Sells an item for a price preset in the Back Office.

  • Has to have1 to 4 digit PLU.
  • Has to have a non zero Retail Price.
  • Has to be placed in a Category belonging to a Visible Department.

  • When changes are sent to the Lanes, this PLU will show up when the 'Cider' Department button is pressed.

Open Retail Button Setup: Sells an item for a price defined at the POS Lane by the Cashier.

  • Hasto have1 to 4 digit PLU.
  • Has to have a zero ($0.00) Retail Price
  • Has to be set as an Open Priced Item in Inventory -Item Maintenance - POS Options - Item Rules.
  • Click on the POS Options' button to see the next screen.

  • Check the 'Open Priced Item' box.
  • Click 'Save'.

Any button item can additionally, be assigned a custom colour, sort order and optionally set as a Quick Bar Item, using the Status Tab options.

  • The Sort Order number does not have to be unique, the program will group like sort
    order numbers next to each other in ascending sort order by Description.
  • Check the Quick Bar checkbox ON and the item will appear on the Quick Bar of the PLU screen as a result.
  • Touching an open priced PLU button will prompt the Cashier to enter a dollar amount. at the POS.

Item Modifier Button Setup: Modifies a parent item for a price preset in the Back Office

  • Has to have1 to 4 digit PLU.
  • Has to have a non zero Retail Price
  • Has to have the 'Modifies Other PLU/Sales Totals Only' option ON - (Checked) in Inventory -Item Maintenance - POS Options - Item Rules.
  • No longer shows on the normal Department Button list.

Once the above option is set on, that PLU will appear on a list available to modify OTHER items sold.

  • To add Modifiers to an Item choose
  • Inventory - Item Maintenance - POS Options - Modifiers - Tab Option 

Select an Item on the Left Hand list to add modifiers to and Click 'New' on the Modifier form.

  • A list of items with the Modifier Flag set ON will then appear.
  • Select one from the list to add to.

  • Save the item modifier record - A PLU can have unlimited modifiers in its list.
  • Notice that the Modifier record can have its own price when used as a modifier.
  • There is also a 'Value' option which can be used.

  • Operation options are Use Price, Add Value, Subtract Value or Force Sale Total.
  • e.g. , 'Extra Fries' would add a value of 50 cents to the purchase of a Cheese Burger at the POS instead of the normal price of 99 cents if the 'Extra Fries' was sold on its own..

 At the POS Lane, the operation looks like this...

  • Sell the Item - it will add to the bill and display all Modifiers associated with it.

  • (Forced Modifier) - If the 'Must Be Modified by other PLU' option is set ON (checked) in the Back Office Inventory - Item Maintenance - POS Options - Item Rules for the Cheeseburger, then the sale will not proceed until a modifier is selected.  
  • (Optional Modifier) - If the 'Must Be Modified by other PLU' option is NOT set on, pressing 'Close Modifiers'  just sell the Cheesburger with no modifiers.
  • The program displays the difference between the regular fries price and the modified price as a Discount.

Scale Retail Button Item Setup:

This function sells a measured item with a price based on the value of a single unit of measure entered at the POS, e.g. Kg (Kilograms), L(Litres),
M(Meters) etc. 

The most common example of this is to sell an Item by weight, but the same principle applies to fluid volumes or material lengths.

  • Has to have a 1 to 4 digit PLU code.
  • Has to have a non zero Retail Price for each Unit of measure sold, e.g. $3.50 1KG or 4.29 1 LB
  • Has to be set as a 'Scale Item' in Inventory - Item Maintenance.

  • If the POS Lane is interfaced to a Scale or Scale Scanner, just placing the Item on the Scale and touching the PLU button on the Screen will weigh the item and price it automatically based on the price set in the Back Office.
  • If there is no Scale Interface present, then the cashier has to touch the 'Scale' button on the Lane first and specify the weight of the item, before touching the Item's PLU button.

Gas (Fuel) ButtonItem Setup:

Sells a Gas by the Dollar on a price based on the value of a Liter (3 Digit Decimal) entered at the POS.

This is a specialized function designed to sell Fuel specifically, in a Convenience Store type setting.

  • Fuel is a special case as taxes are included in the sale at the pump and not added into the sale at the POS like the rest of the items in the store.
  • The Fuel is not sold as a multiple of Litres as in a scale item but as the Total amount of Dollars displayed by the console in the store for each sale.
  • The amount of Litres sold is calculated backwards from the Dollars sold and Price Per Liter set in the Back Office.
  • The Tax in the Sale for the Fuel is broken out on the Receipt.

In Inventory - Item Maintenance -

  • set the Price to the 3 Digit Decimal required . e.g. $0.969
  • Set the Size/Info to 1/ Litre
  • Save the Entry and Click on the POS Options button under the 'Item' Tab Option in Inventory Item Maintenance.

  • In the Pricing Setup Page, check ON the Gas PLU Shows Litres/Tax 1 in Sale option.
  • Do NOT set the OPEN PLU option in Item rules OR any links or flags ON in Item Linking.
  • The PLU can be made discountable and carry loyalty pointsif required.

  • At the POS When the Item is Sold by touching the button, the Dollars sold (from the Gas Console) will be input into the Sale.

  • The Litres in the Sale will then be calculated from the Price entered into the Back Office.

Special Function Button Item Setup:

These items have a Special Function designated from the Drop Down box on the 'Label-Info' field in Inventory - Item Maintenance.

  • An Item Set as a ** Ticket ** will print an admissions ticket on the POS Printer
  • An Item Set as a ** ERange IF ** will send a code to an 'eRange' Golf Ball dispensing machine.

Negative Retail Price Button - Preset Price:

  • Has to have1 to 4 digit PLU.
  • Has to have a non zero Negative Retail Price.
  • Suitable for items that will always be returned to the store such as Refundable Deposits on bottles or fixed amount Lottery Pay Outs.

    In Inventory - Item Maintenance, make the Retail Price Negative byputting a minus sign in front of the Price figure.

    • When saved, the Item will show the Price in Brackets, designating a negative price.

    Negative Retail Price Button - Open Price (Payout PLU Button):

    • Has to have1 to 4 digit PLU.
    • Has to have a zero Retail Price ( $0.00) 
    • Suitable for payouts to a specific PLU or returned items with no preset price e.g. Online Lottery Pay Outs.
    • The 'Discountable'flag in Inventory - Item Maintenance - POS Options has to be set ON (Checked).
    • The Open PLU Option in Item Rules should NOT be set on in this case.

    Package SalesButton

    At the POS, when this Item Button is touched,a set of items packaged on this PLU will sell,

    e.g., You could set up a Valentines Day Gift Basket button called 'Romance Deal'. Pressing the 'Romance Deal' preset button will sell:

    • A bottle of wine,
    • 2 wine glasses and
    • A box of chocolates,
    • An optional discount (Negative Priced Item) on the Package 

    Each item in the Package must first be setup as a normal Item with correct pricing and Taxes in the Back Office Inventory - Item Maintenance.

    • An Additional Item must then be setup as the Package Item.
    • To Add Items to the Package:
    • Select the Package Item in Inventory Item Maintenance and Click on the POS Options button:

    • Click on the 'Packaged Items' Tab in the POS Options screen.
    • This displays the 'PLU Sells Package' status flag.
    • The 'PLU SellsPackage' status flag has to be set ON (Checked)

    • To add an item to the Package, click 'Select New Items' and select from the Inventory List provided. 
    • The package items can have a modified price by editing the Each Price field before adding the item to the package.
    • Optionally, an additional negative priced 'Deal Discount' item can be added to the package if only one discount is required to be shown at the POS. (Regular Price 0 and a Negative Package Price)
    • A combination of both discount methods can be used in the Package

    At the POS, touching the Item Button sells all of the Packaged Items in one operation.

    • The total package discount is displayed as well as the total amount for the Package.

    PLU Drill Down Page Button

    A 'PLU Drill Down Page' extends the functionality of the buttons by allowing a structure of buttons to be setup at the POS that is independant of the Department structure, yet can be incorporated within it if required.

    This provides a way to drill down thorough large lists of items that cannot be scanned.

    • PLU Pages can be setup either within a Department or set to show on the Quick Bar.
    • Any item can be attached to any one PLU Page.
    • PLU Pages can exist within other PLU Pages to a depth of 254 pages.
    • If an item exists on a PLU page it will not show up in its Departmentbutton list.

    A good example of where PLU Pages may be required is when considering a large Produce department.
    The Produce department may have may items which would be inconvenient to search through alphabetically.
    It may be more convenient, if for example, when the Produce Department is set up, PLU Pages with titles such as Apples, Oranges, Potatoes etc.. can be set up.
    When the Cashier presses any of these buttons, a further alphabetized list of items appeared, all of which are related to the top button's description.
    So pressing the 'Oranges' button would bring up a list of all the different types of oranges available within the Produce Department.

    To setup a PLU Page:

    • Add a Zero Priced item with a zero cost into Item Maintenance and give it a relevelant description for the page.
    • The Item must have a PLU Number between 2 and 9999

    • Makethe 'This Item IS a PLU (Drill Down) Page' box checked (ON).
    • Save and Exit, repeat as necessary for all of the PLU Pages that you want to set up.

    To set any item up as belonging to a PLU Page (Including Other PLU Pages)
    • The Item must have a PLU Number between 2 and 9999
    • Select the Item in the Inventory Item List.
    • Click POS Options on the Item Maintenance form.
    • Select the 'PLU Links' Tab Option on the POS Options form.
    • Click on the Text Box to display a list of available PLU pages
    • Double Click on the PLU Page list entry that you want the item to link to.

    • Save the PLU entry and repeat the process for all other items to be linked to PLU Pages.
    • Send Changes to the POS Lane/s 

    At the POS Lane, the PLU Page Button does not sell an item but will display other PLU buttons or Item PLU Buttons when touched.

    • PLU Buttons displayed on a PLU Page do not have to be related in any way by Department etc.
    • The 'More' and 'Back' button's (displayed at thebottom right of the screen) function is to navigatethe list of buttons conveniently when the number of buttons exceeds what can be fitted on one form.
    • Drill Down Pages can include more Drill Down pages in their list of buttons.
