Item Maintenance - Clone and Delete Items
For reasons of data integrity, once an item is saved, its UPC number can never be changed. 

Items are cloned for two main  reasons;

a/ Many like items are to be entered, the only difference between them is the barcode and a slight description change.

b/ An item is entered with an incorrect barcode, and the mistake only discovered at a later time.

Then the incorrect item is then deactivated, pending later deletion.

If you wish to copy all of an items details to a new UPC code;
  • Select an Item from the Inventory - Item Maintenance List
  • Set the Clone option ON (Checked) - You will see the 'Deactivate' button turn into a Check Box.
  • If you wish the original item to be automatically deactivated by the same process, set the 'Deactivate' Box ON (Checked)
  • Immediately click the 'New' button.

  • Enter the new Barcode and description, size etc if required.
  • Click 'Save' to put the new item on file.

Why is Deleting an item not easy?

In database management jargon, data 'records' are grouped together in 'tables'. 
Each Record in the Inventory (Item) Table contains, discrete pieces of information ('fields') that are not available in other tables such as description, size, category etc.
If an Item record were to be deleted from the Inventory Table. other tables that reference the Inventory table could no longer obtain information that was stored in the Fields for that particular item.
The first casualty of this scenario would be the reports, which would just show blank spaces or no data (or just plain not work!)  where there should be information.
For that reason, once an item is added to the database, the system disallows changing the UPC/PLU code, or deleting it immediately.
There are times however, when you no longer wish to see a discontinued item in daily use, or a mistake has been made setting up a UPC code.
Before an item can be removed from the data, we must take steps to preserve any historical performance information it has, as well as informing the POS Lanes that this item no longer officially exists in the store.

How to Delete an Item...

The first step is 'Deactivate' the item.  
  • Select the Item to be Deleted/Deactivated in the Inventory Item Maitnenance list.

  • Click on the Deactivate Button and the Item will be placed in the Inactive List
  • The Inactive Items List is available under the Inventory Maintenance 'Inactive Items' tab option.
  • Items can be 'Reactivated' again if necessary from the options available on that Tab.
  • Making an item inactive is very safe, it retains it on the system intact but it is not shown in the Inventory Item List or on common daily reports, and cannot be sold at the POS.

  • Once the item is in the Inactive List you can leave it there with no problems.
  • To Print a List of Inactive items, choose the 'List Setup' Tab option in Inventory Maintenance.
  • Check the 'Print Inactive Items Only' option
  • Click on the 'Print Selection' button.

  • Once an Item is deactivated - it can only be deleted if it has no Sales History or Receivings history on the system.
  • To keep the integrity of the Item's History we must transfer the History to another item in the system before we delete the original Item record.
  • If you know the Item has no History then skip the next couple of steps.and go to the end of this document. 
  • If the Item does have history, then we have to Edit the Item and Choose the 'History' Tab Option in the Item Edit form.

  • Select the UPC/PLU Box to view a list of all Items that can have the History transfered to them.
  • Double Click on the List to Select the Item to Transfer to.
  • Click on the 'Move History' Button

  • Once an Item has had its History Transfered AND has been Inactive for more than 2 days, it can be deleted.
  • Choose Inventory - Item Maintenance - 'Inactive Items' Tab

Deletions can be made by deleting a selected item or or all eligable items.

  • Delete Item - Click on a line item to highlight it, then click 'Delete Item'. Only the selected line Item will be deleted from the Database.
  • Delete All - All displayed line Items will be deleted if they have no History and have been inactive for 2 days..
