Stock Sheets - Entering Stock Counts
This help page covers a way of physically counting stock using the old fashioned pen and paper entry.
 
The alternative is to count stock using the 'Unitech' HT/PT6XX handheld device or use any method that will produce a file suitable for importing.
  • Once the Stock Sheet has been created with all the required items in it, 
  • Click on the 'Sheet Functions' Tab option - 'Print Count Sheet' button.  
  • A print preview of the 'Stock Count Sheet' then appears on the screen. 
  • To print this, click on the top left 'Printer' icon and then choose a system printer.



The total individual unit counts should be entered on the sheet.
  • This information is then re-entered into the list on the Stock Sheet form.
  • The lists on the screen runs in the same order that the Count Sheet is printed. 
To enter item counts into the spreadsheet - click on the 'Items' Tab option on the Form. 



  • The spreadsheet is designed for rapid data entry. 
  • Starting from the first item, key in the amounts entered on the returned count sheets. 
  • Pressing 'Enter', then the down arrow after each entry moves the cursor to the next box. 
  • The sheet will scroll down automatically as you enter data.
  • Changed sheet cells will turn green. 
If a large amount of data has to be entered, and it will take a few days to complete the entries for any reason, the stock sheet saves the data when the 'Exit' button is clicked on or the program is exited.
During any session, recent changes will turn the sheet 'cells' green. 
Once the session is closed and re-opened, the cell colors are normal again.

 When the data entry is complete, two reports are available under the 'Inventory Functions' Tab option..
  • Stock On Hand Report - Shows an Over/Short detailed picture by Location/Bin (Click on the ' Print Stock On Hand' button)
  • This report shows all costs BEFORE any Discount and Tax is Deducted in a VAT type store.
  • Category Values - Shows a detailed breakdown with Sub and Grand totals for each Category/Department in the Store. (Click on the green 'Category Values' button)
  • The Category Values option can also be printed as a  G/L (General Ledger) summary for your accountant.
  • This report shows all costs AFTER any Discount and Tax is Deducted in a VAT type store.
