This form is designed to help you market to targeted groups of customers.
The target market can be defined by
- Dollars Purchased
- Points Redeemed
- Points Balance
- Birthday
- City or Postal Code
- Loyalty Status Level (BRONZE, SILVER, GOLD
etc..)
- An item they have purchased in the past.
The marketing communication options are either direct mail out or bulk emails.
As customers make purchases, the items purchased can be set to accumulate points
on each sale, based on the points allocated to items through the Setup - Store - Departments menu option.
The form is designed to show which customers have accumulated points, redeemed
points or simply just spent money in the store.
Birthdays, Item purchases, City or Postal (Zip) code can also be targeted.
- The form helps you upgrade good customers to higher discount levels as well
as producing letters and emails.
Choose Customers - Loyalty from the Menu.
- This will open the 'Customer Loyalty and Marketing' form.
The form contains 'Search Setup' options that enable you to produce a record set
of customers
based on the parameters that you choose on the form.
- The first task is to set the Date Range you are interested in reporting
on.
- Clicking on each Date Line, pops a Calendar up on the screen.
- Use the calendar to select the Starting and Ending dates for your
customer records.

- Then choose the desired search parameter to build the customer list by.
- Click on the 'Show Search Results' button to view customers found by the search.
- The Results List, and other Tab Options, will then be displayed.
- To change the sort order of the list, click on any of the column headers once or
twice to show an ascending or descending sort by the selected column.
Search options include, for the period specified in the Starting and Ending;
- Show Zero purchases only - any customers with no activity.
- Show Zero Points Redeemed - Customers who have not purchased any merchandise
carrying points.
- Or More Than (n) points (Redemeed) - Customers who have purchased
merchandise with points totalling more than the number specified.
- Show Zero Points Balance - Customers who do not currently have any points
to redeem
- Or More Than (n) points (Balance) - Customers who have points
totalling more than the number specified.
- Loyalty Only - Filter out any Accounts Receivable charge customers.
- Business Type - Filter customers by the Business Type group assigned to
each customer.
More global options include information that has been entered in the
Customer Maintenance routine.
- Birthday - Show any customers who's birthday day falls in the date range specified.
- By City Or Postal Zip - Type in a city pr postal/zip code to search by
- Status - Check to filter by the Loyalty Types in the drop down box.
- Filter by UPC - Shows all customers who have purchased a specific item.
The records can be sorted by one of the options choosen in the 'Sort Order' section
of the form when the data is compiled.
- Top Purchases - Sorts by your best customers at the top of the list.
- Top Points Earned - shows the real bargain hounds at the top of the list.
- Top Balance - Who has got the most points outstanding?
- Customer Name - A Straight Alpha sort of the Customer list.
Once the customer record list has been compiled, there are additional Tab Options
shown at the top of the form.
- Mail Merge - allows the text of the loyalty letters or emails to be edited like
a Mail Merge function.
- Email Setup - set up for the Email Server to use for bulk emails- (Must be an SMTP
Mail server). This can also be used to suppress emails for individual customers
in the list. The program can then email any customers within that data set that have valid email
addresses.
- Email/Print Lettters - Initiiates the final Print Run or Bulk Email session.
- Address Labels - Make an Address Label for each customer
in the list.
- Discount Setup - Change the Discount setup for the customers selected by the search.
- Export - Creates an mdb or CSV (Data file) from the compiled list that can be
read by other programs for advanced marketing information.
Click on the customer list to select a customer's record.
- If you wish to View a listed customer's details, click anywhere on the listed line
and then click the 'Edit Customer' button that appears. The Customer Maintenance
form will appear, with your customer already
selected.
- The below example shows a drill down from Customer Loyalty to Customer Maintenance
to Customer Invoice History.
There are some standard letters incorporated in the loyalty program that are generated
based upon the following ideas..
- The customer has earned points but none redeemed,
- The customer has made purchases and redeemed points
- The customer has made no purchases.
The letters provide a scannable customer ID (System setup
must be properly set to 9999900001 starting code).
- The letters provide the customer with up to date information on their account.
- To print a letter, click on the customer's record in the list, then click on the
'Email/Print Letter' Tab Option at the top of the form.
- An option is available to do a bulk run for the all displayed customer records to
a specific printer. You will be asked if you want to do this when you click
on the 'Print Letter button.
- This is designed as a simple letter format, for more advanced customer relations
management, use the 'Export Data' function to use it with software that is specifically
designed for your marketing needs.

The text in the Letter can be edited prior to printing.
Click on the 'Mail Merge' Tab option to view the editor.

To Export the customer records toa flat file format, click on the 'Export' Tab Option.
- This file contains all of the data for the customers in the loyalty records.
- It is a file that can be read by Microsoft Office or other data mining programs
for incorporation into other marketing programs.

Click Save to complete the export. The exported file format can be either
CSV (MS Excel) or Jet (MS Access) readable.
To Email Customers:
- First Select the 'Email Setup' Tab Option.

To setup the program to a specific email (SMTP) server,
- Fill in the reply to address, the server name and authentication UserID/Password
if required.
- (Check with your IT/ISP provider for these details.)
- Please note that ISPs (Internet Service Providers) will place limits on the amount
of emails that you can send in a day through their SMTP server.

A list of customers that will receive the email is also shown.
To change the Send status of an Individual Customer - Click on the 'Send' box in
the Email
list.
The only edit available is to choose to send an email to a customer or not.
- If the 'Send Statements and Information' flag is set ON in Customer Maintenance
then the email will be set to 'Send' if not, the email will be set to 'BLOCK'.
- This status can be changed prior to mailout if desired.

Click the 'Send To All' button to set the status to 'Send' for all customers.
Then select the 'Email/Print' Letter Tab Option:

You have the option to create or cut and paste HTML code into the email, if you
choose the 'Send as HTML' option. Each customer will get the same message.
If you choose the 'Plain Text' option, you can simply type in a message to send
to all of your customers, each customer getting the same message.
If you choose the 'Plain Text' option, together with the 'Merge Text From Loyalty
Letters' option, each customer will get a message based on the loyalty letter you
have edited.
To email the customers on the list, click on the 'Send Email to List' button.
- The progress of the email process will show at the bottom of the screen as the emails go through.
Any points accumulated by the customer can be redeemed directly through the eStream
POS Lanes as a dollar equivalent.
- The POS System tracks points available and points redeemed for any customer.
- The setup for determining how many customer points are required to redeem $1 is
set in Setup -Customer - Loyalty Levels.
- The less points required, for any level, the more their points are worth.
